Job Purpose
The primary purpose of the Administrative Officer position is to provide administrative and secretariat support to the Deputy Director and the relevant section. The role involves managing and processing site development plans, building plans, and other administrative tasks essential for the smooth operation of the department.
Job Description
As an Administrative Officer, your key duties will include:
- Rendering administrative support in the submission and approval process of site development and building plan applications.
- Receiving, verifying, and processing site development plans and building plan applications.
- Calculating fees, issuing receipts, and opening files while ensuring that all documentation is correct.
- Capturing information on the municipal system and circulating files to other departments for comments and approvals.
- Communicating approval status or any required corrections to applicants, mainly through telephonic notifications.
- Managing administrative tasks related to the booking of inspections for building surveyors.
- Updating records post-inspection and ensuring accurate electronic capturing of data.
- Performing an archival function by maintaining records of building and site development plans.
- Retrieving records, whether electronically or in hard copy, upon public request.
- Ensuring that files and filing cabinets are well-maintained and easily accessible.
Requirements
To qualify for this Administrative Officer position, candidates must meet the following requirements:
- Educational Qualification: Matric (Grade 12).
- Experience: At least six months of relevant experience in administrative support services.
- Computer Literacy: Proficiency in working with basic computer systems and software.
