Job Description
As an Administrative Assistant at Santam Insurance, you will play a crucial role in ensuring the smooth operation of the Digital Innovation team. Your responsibilities will include executive support, managing travel and expense arrangements, handling confidential information, coordinating internal marketing initiatives, and assisting with financial management tasks. You will also be responsible for general office management duties and providing support to the team to ensure effective communication and project coordination.
Key Responsibilities
- Executive Support: Manage travel and accommodation arrangements, assist with diary management, and prepare materials for meetings.
- Confidential Information: Handle sensitive information with the highest level of discretion.
- Office Management: Oversee the ordering of office supplies, ensure health and safety standards are met, and provide IT support as needed.
- Financial Management: Process invoices, manage expense tracking, assist with budget reconciliation, and support financial planning.
- Internal Marketing: Coordinate office events, assist with marketing initiatives, and collaborate with external vendors.
- Team Support: Facilitate communication within the team, maintain project timelines, and assist with onboarding new team members.
Qualifications and Experience
- 3-5 years of experience in an administrative or similar role.
- A basic understanding of marketing concepts.
- Strong organizational skills with attention to detail.
- Experience in event planning and coordination.
- Basic financial acumen and budgeting skills.
- NQF Level 6 qualification in business administration or a related field, or a minimum of 3 years of relevant work experience.
- Proficiency in MS Office and strong numerical literacy.
- Familiarity with FAIS Act, FICA, Short-term Insurance Act, POPI Act, and TCF Framework is advantageous.
