Job Description: As the Club Administrator, you will be the key figure in ensuring the smooth operation of administrative tasks within the club. Your responsibilities will span a wide range of duties, from managing member queries to overseeing payroll processes, ensuring that all tasks are completed efficiently and in line with company policies and procedures.
Key Responsibilities:
- Delivering Excellent Member Service:
- Resolve member queries and requests within 24 hours.
- Update member database with any changes in details.
- Process refunds and follow up to ensure timely action.
- Capture and log relevant member information and manual access stats during system downtime.
- Auditing:
- Perform daily, weekly, and monthly audits to ensure compliance.
- Reconcile reports and highlight discrepancies to the Club General Manager.
- Banking:
- Complete banking processes, reconcile reports, and ensure member accounts are updated promptly.
- Check and Process Contracts:
- Ensure membership contracts are correctly processed, and address any discrepancies.
- Administer Payroll Processes:
- Capture employee documentation, process salary data, and ensure accurate payroll management.
- Administer Orders and Petty Cash:
- Manage and reconcile petty cash and process orders for stationery and uniforms.
- Monitor and Control Uniform Stock:
- Track and issue uniforms, ensuring accurate record-keeping.
- Effective Communications:
- Inform and train staff on new administrative policies and procedures, ensuring timely completion of tasks.
- Managing and Developing Departmental Staff:
- Oversee staff performance, provide training, and develop growth plans for the administrative team.
Minimum Requirements:
- Strong organizational and multitasking skills.
- Ability to work independently and manage time effectively.
- Excellent communication skills, both verbal and written.
- Proficiency in relevant administrative and payroll software.
- Commitment to delivering exceptional member service.
