Job Description:
As an Administration Assistant at Anova Health Institute, your role will be critical in ensuring smooth and efficient office operations. Key responsibilities include:
- Administration & Procurement:
- Provide direct support to the Office Manager/Programme Manager/Provincial Coordinator.
- Manage procurement processes, including sourcing quotes, handling purchase orders, and ensuring timely delivery from approved suppliers.
- Perform administrative tasks such as word processing, preparing Excel-based sheets, and maintaining accurate records.
- Handle petty cash, prepare petrol vouchers, and manage office supplies and equipment.
- Assist with the maintenance of office assets and support the receptionist during absences.
- Training Support:
- Coordinate with Anova Trainers to address training needs and ensure timely procurement of necessary materials.
- Prepare training documents, manage logistics for events, and handle participant certificates and records.
Qualifications and Skills Required:
- Education: Grade 12
- Experience: At least 2 years in an administrative role
- Skills:
- Proficiency in MS Word, MS Excel, email, and internet usage
- Excellent communication skills and ability to interact with a diverse range of people
- Strong attention to detail and problem-solving abilities
- Ability to multitask and manage time effectively
- Independent work capability with minimal supervision and effective team collaboration
- Good judgment and discretion in handling sensitive information
