Key Duties & Responsibilities:

  • Receive and verify that all vehicle deal files are signed by the Dealer Principal and Sales Manager.
  • Ensure that all required documentation is included: Offer to Purchase (OTP), trade-in
  • documents, cost sheets, customer ID, and change-of-ownership forms.
  • Complete stock cards and obtain necessary books and documents from the Stock Controller.
  • Invoice vehicles according to OTP details, including any sundries, after confirming accuracy of figures.
  • Capture deal files in the register and D.O.C.
  • Process change of ownership forms.
  • Check if any outstanding funds are owed on trade-ins.
  • Bring trade-ins into stock by noting them in the stock book and updating the computer system.
  • Complete and stamp the service book for each vehicle.
  • Ensure deal files include ID copies, trade-in registration duplicates, and new registration details.
  • Capture invoice credit notes, sundry invoices, and credit notes in journals while ensuring all costs are correctly displayed.
  • Make sure sales journals balance after each transaction.
  • Confirm month-end journals align with D.O.C and Manager’s D.O.C.
  • Print month-end journals for accountants.
  • Record all vehicle movements (incoming and outgoing) in stock books and internal systems.
  • Print weekly stock sheets for Managers and Dealer Principals.
  • Retrieve emails and distribute relevant information.
  • Update DIMS (Dealer Information Management System).
  • Process monthly fleet claims in line with Toyota deadlines.
  • Follow up and re-submit rejected fleet claims if needed.
  • Open vehicle debtor accounts and follow up on outstanding payments.
  • Assist with vehicle debtor inquiries.
  • File invoices, receipts, and all vehicle deal files accurately.
  • Receive and allocate traffic violations and follow up where required.
  • Provide support to the Stock Controller and Financial Manager.
  • Perform additional reasonable duties as required from time to time

Knowledge, Skills, and Qualifications

  • Minimum Grade 12 / Matric.
  • Computer literacy in MS Excel & Word.
  • Clear criminal record.
  • Strong attention to detail.
  • Essential knowledge of Kerridge and E-Toyota systems.
  • Good interpersonal and communication skills.
  • Ability to work in a fast-paced environment and under pressure.
  • Strong teamwork skills.
