Job Description:
As an Administrative Assistant at Wits, you will play a key role in ensuring the smooth functioning of the School of Clinical Medicine. Your responsibilities will include managing the head of school’s diary, organizing meetings, taking minutes, and drafting agendas for committee meetings. You will handle telephone calls, email correspondence, and provide general administrative and secretarial support. Additional duties include creating and maintaining filing systems, assisting in drafting various documents, making travel arrangements, and supporting the senior operations manager with administrative tasks.
You will also be responsible for ordering office supplies, booking venues, liaising with internal and external stakeholders, and ensuring effective communication within the school. The role requires someone with excellent communication skills, the ability to multitask, and a proactive approach to problem-solving. Experience in a university setting and proficiency in tools such as Word, Excel, and Oracle are advantageous.
Minimum Requirements:
- Matric/Grade 12
- National Diploma (advantageous)
- 2-3 years of experience in a university setting
- Experience performing secretarial duties for senior-level positions (advantageous)
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), email, and electronic calendar/diary management
- Experience with Oracle (advantageous)
- Ability to work after hours if necessary
- Strong written and verbal communication skills
- Experience with stakeholder management
- Ability to maintain confidentiality and prioritize tasks effectively
